Privacy Policy

This Privacy Policy explains how BubbleGum BI, Inc. ("BubbleGum BI," "we," or "our") handles information through our websites, dashboards, Cai, Chat with Cai for Excel, integrations, APIs, tools, and support channels (the "Services"). It applies to our business customers, their authorized users, and website visitors. It should be read with our Terms of Service and any applicable customer agreement. A customer agreement controls if it conflicts with this Policy regarding Customer Data.

1. Information we collect. We collect business account and contact information; portfolio, property, financial, operational, and reporting data provided by customers; files, prompts, conversations, outputs, preferences, and connected-service data; and technical data such as device, browser, Internet Protocol address, usage, diagnostic, security, and audit information. Customers control the Customer Data they submit or connect. We process it to provide the Services under their instructions.

2. Chat with Cai for Excel. Chat with Cai for Excel is an Excel task pane add-in that lets authorized BubbleGum users ask Cai to analyze or update an open workbook. It can read the workbook name, worksheets, selected or requested ranges, cell values, formulas, formatting, and requested range images needed to complete the user's request. Relevant prompts and workbook content are sent to BubbleGum systems and contracted AI and infrastructure providers to produce the result. The add-in requires user approval before it writes changes to the workbook.

3. Personal information. Our managed PMS analytics pipeline is designed to exclude direct resident identifiers from standardized analytics outputs. Because users control uploaded files, connected systems, prompts, and workbooks, we may process personal information they contain when a customer directs us to do so. Customers should not submit Social Security numbers, payment card information, health information, government identification numbers, or identifiable resident records unless a written customer agreement permits it.

4. How we use and disclose information. We use information to provide, secure, support, and improve the Services; authenticate users and enforce access controls; complete requested analysis and actions; maintain integrations; communicate with customers; and comply with law. We disclose information to contracted providers that support hosting, storage, authentication, AI, analytics, communications, and security; to authorized users within the customer's organization; to connected services at the customer's direction; and when required by law. We do not sell Customer Data or use it for third-party advertising.

5. Cookies and website measurement. Our public websites use cookies and similar technologies for essential functions, analytics, and advertising measurement. These tools can collect device, browser, Internet Protocol address, page-view, referral, and interaction information. Browser and device settings can limit cookies. Website measurement is separate from Customer Data processed inside the authenticated Services.

6. Retention and security. We retain information as needed to provide the Services and meet legal and contractual obligations. We use administrative, technical, and organizational safeguards designed to protect it. Customer Data is isolated by organization and, where configured, by property and user scope. No system is completely secure.

7. Your choices. Privacy requests may be sent to legal@bubblegumbi.com. Requests about Customer Data may need to go through the customer that controls it.
