Your T12 is only half the story

••Updated October 28, 2026

We hear a familiar workflow from multifamily teams using Claude: download the reports from the property management system, drop them into a chat, and ask for an analysis. It can work well. A T12, rent roll, and leasing report give Claude plenty to work with.

Where we hear teams start to struggle:

  • Report maintenance. Someone has to keep downloading and uploading the latest reports.
  • Shared policies. Company accounting rules and capitalization policies need to reach everyone using the tool.
  • Shared memory. Property and company context needs to carry across the team, beyond one person and one chat.
  • Uptime and subscriptions. Teams have to manage access, availability, and subscription costs.
  • Model flexibility. A workflow built around Claude, ChatGPT, or Gemini can need rebuilding when models or pricing change.

BubbleGum connects the property data and gives your team shared company guides and approved property and organization memories. We manage the models behind Cai, our AI assistant, so your data and context stay with BubbleGum as the models change.

We were curious how that difference would show up in a financial review, so we asked Claude and Cai to do the same task: review a property's T12. Cai brought in:

  • Operating context. Trailing NOI was close to budget, but current occupancy had fallen below the level supporting future revenue.
  • Expense detail. Ledger postings showed the recurring HVAC repair activity behind the maintenance overrun.
  • Company rules. With your guides and agreements supplied, Cai can also check accounting treatment, capitalization policies, loan covenants, and management fees.

The table below compares what each review can draw on. Download both full responses at the bottom.
